For government and public sector teams

Email marketing built for government teams.

Purchase orders and invoicing accepted, so a credit card rule never blocks the tool your team wants. Notices that reach residents instead of spam folders. A standing 20% public sector discount. And a person who answers when something has to go out this afternoon.

No ticket portal. Email or chat, and the person who answers knows both deliverability and how agencies have to buy.

Where it usually breaks

Four things that stall public sector email, and what we do about each one.

Public communication rarely breaks for creative reasons. It breaks on payment rules, on spam filters, on a vendor nobody can reach, and on a tool that left with the staffer who understood it.

Finance cannot pay by credit card, and the vendor takes nothing else.

Send us the purchase order and we invoice your agency. No credit card at any point, and contracts on request when procurement asks.

Residents say they were never told, and the notice is sitting in their spam folder.

We configure SPF, DKIM, and DMARC on your sending domain and watch your reputation, so service alerts and meeting notices arrive.

Support is a web form, and your notice has a date on it.

A person replies, knows your account, and helps you get the send out the same day. By email, chat, or a call.

The one person who knew the platform has moved on.

A plain builder a new hire can learn in an afternoon, and we train whoever inherits it at no extra cost.

Nobody in a public agency should need a developer to send a notice. Mailsoftly is the plain, well supported tool a communications team of one can actually keep.
Why public agencies switch

What changes on day one, and what still holds five budgets later.

Service alerts, meeting agendas, program newsletters, recruitment notices, and the message that cannot wait. The routine work gets simpler and the vendor stops being one of your problems.

The usual blocker

Buying that fits your rules

Purchase orders and invoicing are accepted, contracts are available on request, and nothing in the process needs a credit card. Procurement stops being the reason your team cannot have the tool it wants.

Notices that actually arrive

Mail providers decide whether your department is trustworthy before a resident sees anything. We set up SPF, DKIM, and DMARC on your domain and watch your sender reputation so that decision goes your way.

Someone actually answers

Email or chat reaches a person who knows your account and can help you send today. Agencies tell us this is the part they did not expect.

A line item you can defend

A standing 20% public sector discount on pricing that stays fair as your resident list grows. Next year's renewal is a number you can put in a budget request now.

Simple enough to hand over

Staff change, and the newsletter should not leave with them. The builder is plain enough that the next person picks it up, and we walk them through it when they do.

Lists, segments, scheduled sends, automated sequences, and reporting, the tools a public information office actually opens.

No enterprise suite you will never log into. Just what it takes to reach residents, staff, and stakeholders, with someone to call when it matters.

Support you can reach

The vendor answers to you. That is not how this usually goes.

Public agencies are used to being a small account at a very large company. Here the team that builds the product reads your message, already knows your setup, and stays with you until the send is out the door.

  • Ask us to check a notice before it goes and we read it with you, the subject line, the links, the list it is addressed to.
  • We authenticate your department's sending domain so a message from your agency is trusted, not quarantined by a resident's mail provider.
  • Billing questions reach the same people, so a purchase order or an invoice query gets answered rather than routed into a portal.
MS Mailsoftly support Usually replies in minutes Email or chat
You We have to send a water service notice this afternoon and I have never used this tool. Can someone walk me through it?
Mailsoftly Yes. Send me the text and tell me which list it goes to, and I will build the campaign with you here on chat. We can have it out within the hour.
You That is a relief. Our old vendor would have taken three days.
A real person, by email or chat, usually quick. Because a notice with a date on it cannot wait in a ticket queue.
Leaving your current vendor

Your list, your history, and none of the risk.

Most agencies stay on Constant Contact or Mailchimp because moving sounds like a project nobody has time for. It is not. We do the move for you at no cost, and we do not step back until your first campaign has gone out.

  • Your subscribers, your sending history, and your sign up forms come with you. Nothing is stranded in an account you are about to cancel.
  • We rebuild your templates and segments so the newsletter still looks like your agency and not like a default theme.
  • Your other systems connect through Zapier, WordPress, or our REST API and webhooks if your IT team wants a direct link.
1

Tell us what you are on today

Constant Contact, Mailchimp, or a shared mailbox and a spreadsheet. We look at it together and tell you honestly what moves cleanly and what does not.

2

We move it, at no charge

Subscribers, segments, templates, and forms all come across, and your send history comes with them.

3

We authenticate, then we send with you

We set up your sending domain, then stay on chat through the first campaign so nothing goes out unchecked.

20% Off, always
The public sector discount

A standing 20% off for government and public sector organizations.

It is a permanent rate, not an introductory one that quietly resets at renewal. It sits on top of pricing that already stays fair as your resident list grows, which makes it easy to defend in a budget request. Schools, districts, and nonprofits get the same rate.

Reaching every resident

A notice nobody receives is a notice you did not send.

Whether your mail is trusted is decided by other people's mail servers, using rules with a lot of acronyms in them. That is our work to do, not your communications officer's, and we explain what we did in plain words.

No reading bounce logs the morning after a council notice. If something needs attention we tell you what it is and what to do about it.

What public agencies ask before they buy

Straight answers, including the awkward ones.

Can we pay by purchase order and invoice instead of a credit card?

Yes, and it is the most common reason a public agency contacts us. Send us a purchase order and we invoice your accounts payable department. A credit card is not required at any point, and we can work with your contract paperwork when procurement asks for it.

Is there a discount for government organizations?

Yes. Government and public sector organizations get 20% off, and the rate stays on the account instead of expiring after the first term. Schools, districts, and registered nonprofits qualify for the same discount.

We are on Constant Contact. How hard is it to move?

Easier than staying, in most cases. Our team moves your subscribers, segments, templates, and sign up forms for you at no charge, and we stay with you through your first send. The real constraint is usually timing, so tell us your renewal date and we will work backwards from it.

Will our notices reach residents instead of spam folders?

We do the technical work that decides this: SPF, DKIM, and DMARC on your sending domain, plus ongoing monitoring of your sender reputation. No email platform can promise perfect delivery to every mailbox, but you will have a person watching it with you instead of a dashboard you have to interpret alone.

Can we connect the systems we already run?

Yes. Mailsoftly connects to Zapier, WordPress, Google Workspace, Microsoft 365, and Shopify natively, and we publish a REST API and webhooks for anything else, which is usually how an IT department prefers to wire it up. Tell us what you run and we will tell you honestly whether it connects.

How is our data handled?

Mailsoftly is GDPR compliant and a data processing agreement is available on request. The only personal data we hold is what you upload: subscriber names and email addresses. If your agency has a specific data handling requirement, ask us before you buy and we will tell you plainly whether we can meet it.

Notices that arrive, a vendor that answers, and paperwork procurement will clear.

Start a free account and look around before anyone signs anything. When your agency is ready we move your list from Constant Contact or Mailchimp at no cost, set up your sending domain, and put the 20% public sector rate on the account. Send the purchase order whenever procurement is ready.
