Monitor deliverability and reputation

Track your sending reputation, fix a flagged DNS record from the same screen, run a spam check before you send, and add a professional signature.

Good deliverability is not a one time task, it is something you watch over time. Mailsoftly gives you a clear view of your sending reputation and a check that catches problems before an email ever goes out.

This guide shows you where to monitor your reputation, how to run a pre send check, and one small habit that keeps your emails looking legitimate. Each step shows the exact screen you will use.

Open your deliverability view

Head to the Firm reputation screen to see how the inbox world sees your sending. A live Sending reputation score sits at the top, graded across your last thirty days of delivery, opens, bounces, and complaints, with a plain label of Healthy, Needs attention, or At risk. Stat cards break it down into Requests, Delivered, Opened, Clicked, Bounces, and Spam Reports. Below that, a Domain health panel confirms your SPF, DKIM, and DMARC signals and refreshes every day.

Watch for anything flagged here, then move on to check a specific email.

Fix a flagged DNS record from the same screen

Under each domain, Observations lists what your public DNS actually says: no SPF record, more than one SPF record, an SPF that ends in +all, no DMARC record, or a DMARC still set to monitor only. Open Show example fix on any note and you get the three fields every DNS provider asks for, Record type, Host / Name, and Value (the record to add), each with its own copy button. When that domain’s nameservers point at Cloudflare, a Fix it for me button sits beside the note and Mailsoftly can write the record for you: create an API token from Cloudflare’s Edit zone DNS template, scoped to that one domain, paste it in, and press Apply this record. The token is used once for that single record and never stored, so you can delete it at Cloudflare the moment it is done.

If the domain’s DNS lives anywhere else, Mailsoftly says so rather than guessing, and the copy buttons are your path: add the record at your provider by hand, exactly as in Authenticate your sending domain. Both routes end at the same record, because the value you would paste is the value Mailsoftly applies.

Careful

An SPF fix does not add a second record beside the one you already have. Mailsoftly removes every SPF record at that name and writes the suggested value in its place, so read Value (the record to add) before you apply it and check that it still authorizes every other service sending email as your domain, your mailbox provider, your CRM, your invoicing tool. A missing DMARC record is the one note that can hand you to your DNS provider’s own approval screen instead, and that screen covers Mailsoftly’s whole record set for the domain, not only the DMARC line.

A record Mailsoftly writes for you shows up in the check straight away, and the card reloads itself so the note disappears. A record you add by hand usually takes effect within minutes and can take up to 48 hours to propagate, so give it time, then press Re-check DNS for this domain now.

Run a spam and delivery check

Before you send, open the spam and delivery check on your campaign from the check bar in the editor. It scores your email out of one hundred and points out anything that could push it toward the spam folder, from missing authentication to risky content.

A strong score means your content and setup are working together in your favor.

Tip

Make the spam check a habit on every campaign, not just your first. Content changes each time, and a quick check keeps a stray link or heavy image from costing you the inbox.

Review the pass and tip breakdown

Expand the results to see each pass and every tip. Work through the suggestions one by one, since small fixes here add up to a real difference in where your email lands. The checks group into clear areas, so you can tell an authentication gap from a content warning at a glance and fix the ones that matter most first.

Once the tips are addressed, your email is in good shape to send.

Add a professional signature

A consistent signature makes every email feel legitimate and recognizable. Open the Signatures screen and use the Signature wizard to fill in your Full name, Job title, Company, and contact links, pick a layout, and save. Signatures are automatically added to the end of your plain text email campaigns, so your name and links appear the same way every time you send one.

With reputation in view, checks in place, and a clean signature, your sending stays healthy over the long run.
