Preview and test before you send

Check a Mailsoftly campaign before it goes out. Preview recipients, heed the engaged audience nudge, run a spam check, and pace the send.

A little checking before you hit send goes a long way. This guide shows you how to review a campaign so it reaches the right people and lands in the inbox.

You will preview your recipients, act on the engaged audience nudge, run a spam and delivery check, and pace the send so it goes out smoothly.

Preview your recipients

On the campaign screen, find the Recipient List row and open Preview recipients. The Recipients window names the list, shows its count, and lists the real addresses this campaign will reach. Use the Search by name or email box to look up a specific person, or Open list to jump to the full contact list.

This is the quickest way to confirm the list is current before anything leaves your account. If a name or address looks wrong, go back and fix the list before you continue.

While you are here, it is worth knowing where the real preview lives. The Review before sending window carries a toolbar with Inbox, Desktop, Mobile, Gmail, Yahoo, and Outlook views, opening on Desktop, and Mobile is a true phone width viewport, so your email’s own mobile layout renders the way it would in a phone mail app. Treat all of these as close approximations: for an exact check, use Send test email and open the result in that inbox yourself.

Act on the engaged audience nudge

When a campaign targets a large list, Mailsoftly shows a nudge on the Recipient List row. It tells you how many of your contacts engaged in the last 90 days and explains that sending to recently engaged contacts improves deliverability and open rates. Press Send to engaged contacts instead to narrow the send to people who actually open your email.

Sending to your engaged contacts protects your reputation and lifts your results. You can dismiss the nudge if you have a good reason to reach everyone, but for routine sends it is usually the safer choice.

Careful

Blasting a large list of people who never open your email can hurt your sender reputation. When the nudge appears, it is usually worth narrowing to your engaged contacts.

Run the spam and delivery check

On the Campaign Details tab, open the Spam and Delivery Check bar. It scores your email out of 100 and expands into a clear breakdown of automatic checks for things that hurt delivery and open rates: spam triggers, Gmail clipping, links, images, and sender setup.

Work through each line, which covers your Subject line, Preview text, Content, Email size, Links, Images, Sender domain, and Unsubscribe link. A green tick means that item looks good, while a tip points to a small fix, such as setting preview text or keeping the subject under 60 characters. Small fixes here often make a real difference at the inbox.

Note

The Gmail clipping finding is easy to scroll past here, so it now repeats in the send confirmation dialog under "Before you send, please double-check:". If your email is over Gmail’s 102 KB limit, the warning names the size and explains that Gmail will hide the end of the email, including the unsubscribe link, behind "View entire message", and strongly recommends trimming the content. It never blocks the send, so you can go ahead or step back and cut some weight first.

Note

The check is informational only and never blocks sending. Use it as guidance, and give any critical issues, like an unverified sender domain, real attention before you send.

Pace the send with gradual sending

For larger campaigns, press Review and Send and choose Send Gradually. In Manage Gradual Sending you set a Number of emails per day, a Start date, a Send Time, a Time Zone, and the Days to send. A sending plan then shows when the first batch goes out and when the campaign is estimated to finish.

Releasing the email in steady batches instead of all at once is gentler on your sending reputation and gives you time to react if something looks off early.

With recipients confirmed and the checks passed, you can send knowing your campaign is ready.
