Sending a big campaign all at once can look like a spike to inbox providers, and spikes hurt your reputation. Gradual sending spreads the same campaign into smaller daily batches, so your volume ramps up smoothly and more of your email reaches the inbox.

Start from a campaign ready for a big send
Open the campaign you plan to send to a large or newly grown list. This is exactly the kind of send where a slow ramp protects you, so confirm the content is final and the preview looks right before you schedule it. Gradual sending works best from a Google Workspace or Microsoft 365 account, or a sender on your own verified domain, so make sure your from address is set up before you begin. Work accounts on either provider start on the same trusted footing, while personal Gmail or Outlook.com addresses begin with lower sending limits until the account builds trust, which makes a slow ramp even more important.
With the campaign ready, you can choose how it goes out.
The riskiest send is a large blast from a new domain to a cold list. Ramp up your volume slowly, and warm the domain before you push your biggest campaigns through it.

Turn on gradual sending
Move to the schedule step, where you normally choose Send now or Schedule, and press Send Gradually instead. That opens the Manage Gradual Sending window, where Mailsoftly holds the campaign and releases it in daily batches rather than firing every email at once. This single choice is what turns a risky blast into a controlled ramp.

Set your daily batch and schedule
Decide how many emails go out each day with the Number of emails per day field, then set a Start date, a Send Time, and your Time Zone. Days to send lets you pick which weekdays the batches run, defaulting to Monday through Friday, with an option to include weekends. A live sending plan shows Recipients left, Per day, when it Starts, and the Estimated finish, so you can see the whole ramp before you commit. A smaller daily number stretches the send over more days, which is ideal for a newer domain.
When the plan looks right, press Start Gradual Sending to begin the ramp.

Watch your sending reputation
After the batches begin, check your Firm reputation view to see how the send is landing. A steady score with healthy Delivered, Bounces, and Spam Reports numbers means the ramp is working, while any dip is your cue to slow it down. You can return to the Manage Gradual Sending window at any time to lower the daily number or cancel the remaining batches.
