Send a personalized mass email from Outlook

Send one personalized email to a whole list from your own Outlook or Microsoft 365 address, with an unsubscribe link and spam checks built in. Connect Microsoft once, merge first names, check each copy and send. Includes a two minute video.

Outlook can send to a list, but it adds no unsubscribe link and no tracking, and sending too many at once from your Microsoft account can get it blocked from sending. In Mailsoftly you connect Microsoft once and the campaign still leaves from your own Outlook address, with a personal greeting for every person.

The video follows a studio sending a team announcement to twenty four people. The steps below are the same job in writing.

Connect Microsoft 365

Open Integrations and the Microsoft 365 card, press Connect Microsoft Account and approve the request on the Microsoft screen. A work or school account is recognised as Microsoft 365; personal Outlook, Hotmail and Live addresses connect too. The full setup is in Send with Google Workspace or Microsoft 365.

Choose the list and send from your Outlook address

Create a campaign, pick Plain text so it reads like a normal email from you, and choose who gets it. On the next step, open From and pick your address under Your connected mailbox, so the email leaves from your own mailbox.

Give every person their own greeting

Write the email once. Type Hi, open Personalize and pick First name, so every person gets their own name in the greeting. When you move on, set a fallback, such as there, so anyone with no first name on file reads Hi there instead of a blank.

Check each copy and send

Spam and delivery checks run on the campaign page before anything goes out. Open Review and page through the recipients to read each person’s own copy. For a bigger list, Send Gradually spreads the email over several days in smaller daily batches, which keeps your Microsoft account safe. Otherwise, send it now.

Frequently asked questions

How do I send a mass email from Outlook without everyone seeing the list?

Connect your Microsoft 365 mailbox to Mailsoftly, set it as the From address and send the campaign to your list. Each person gets their own copy from your Outlook address, so nobody sees anyone else, and every copy carries an unsubscribe link.

Can I personalize a mass email from Outlook?

Yes. Add the first name or any other contact field with Personalize, set a fallback for anyone missing a detail, and page through each person’s copy in Review before you send.
