How it works

Connect once, then every new lead follows

Mailsoftly has its own app in the Zapier directory. You give Zapier a Mailsoftly API key, pick what happens in Salesforce, and pick what Mailsoftly should do about it. After that, the sync runs on its own. The step by step guide walks through every screen.
Create an API key named SalesforceIn Mailsoftly, open Settings, then Advanced, then API, and click Create New API Key. Every contact this key adds or updates is tagged with the key's name, so naming it Salesforce gives you a ready made segment.
Pick a Salesforce trigger in ZapierNew Lead, New Contact, Updated Record or Updated Field on Record. Connect your Salesforce account when Zapier asks.
Pick a Mailsoftly actionAdd to Contact List or Update Contact both match by email, so a person who is already in Mailsoftly is updated instead of duplicated.

What you can connect

Three ways Salesforce and Mailsoftly work together

Pick the route that fits your team. Most people start with Zapier; a Salesforce admin can also post straight to Mailsoftly, and data can flow back the other way too, so your audience and your CRM stay in step.

Salesforce to Mailsoftly with Zapier

When a lead or contact is created or changes in Salesforce, Zapier adds or updates the person in Mailsoftly, puts them on a list and tags them. Name, company, job title, phone, address and more carry across.

A Salesforce Flow to a Mailsoftly webhook

A Mailsoftly webhook endpoint gives you a private URL. A Salesforce Flow can post a record to it as JSON, and Mailsoftly finds or creates the contact and starts an automation, such as a welcome series, with custom fields mapped too.

Mailsoftly signups to Salesforce

Add a Send Webhook step to a Mailsoftly automation, for example one that starts when someone fills in your signup form. It posts the contact's details to a Zapier webhook, and Zapier creates or updates the lead in Salesforce.

Common setups

Six things teams wire up first

Each of these is one Zap or one automation. Start with the one that saves you the most copying and pasting today.
New lead, welcome emailA lead who asked to hear from you lands on a list that starts a welcome automation, so the first email goes out while interest is fresh.
Opted out in Salesforce, unsubscribed hereWhen the Email Opt Out box is ticked on a record, the Add Global Unsubscribe action makes sure Mailsoftly never emails that address.
Status changes become tagsWhen a lead's status changes, tag the contact in Mailsoftly so your segments and campaigns follow your pipeline.
New customers get the customer newsletterWhen a contact is marked as a customer, move them onto the list that gets your customer updates instead of your prospect emails.
Form signups become leadsPeople who join through a Mailsoftly signup form or landing page show up in Salesforce as leads, with no one retyping them.
Personal emails from CRM dataFirst name, company, city and job title come across with each contact, ready to use as merge tags in your emails.
Bringing email copy over from Salesforce? Salesforce writes a first name as {!FirstName}; in Mailsoftly it is {(first_name)}, and Mailsoftly flags tags in the wrong format before you send. See how merge tags work.

From a CRM record to a sent email

Only sync people who have agreed to hear from you. Emailing an audience that expects your mail keeps complaints low and protects your email deliverability on every send after it.

FAQ

The Salesforce integration, answered

Does Mailsoftly integrate with Salesforce?

Yes, through Zapier and through webhooks. Mailsoftly has its own app in the Zapier directory, so you connect Salesforce by creating a Mailsoftly API key, adding it in Zapier and choosing a Salesforce trigger. There is no separate Salesforce app to install inside Mailsoftly. The Connect Salesforce with Zapier guide shows each step.

What do I need to connect Salesforce?

Three things. A Salesforce edition with API access: Enterprise, Unlimited, Developer and Performance include it, Professional needs the API add-on, and Group and Essentials can't use it. A paid Zapier plan, because Salesforce is a premium app on Zapier. And a Mailsoftly API key, which works on the free Mailsoftly plan.

What happens if a contact is already in Mailsoftly?

Use the Update Contact or Add to Contact List action. Both look the person up by email address, update them if they already exist and add them if they don't, so the same person never shows up twice. The Create Contact action only adds new people and skips anyone who is already there.

Can Mailsoftly send data back to Salesforce?

Yes. Add a Send Webhook step to a Mailsoftly automation and point it at a Zapier webhook. Mailsoftly posts the contact's details as JSON, and a Salesforce action in the same Zap creates or updates the lead or contact.

Can I sync custom fields?

The Zapier actions cover the standard contact fields: name, email, company, job title, phones, address, website, industry, date of birth and interests. For custom fields, post the record to a Mailsoftly webhook endpoint instead and map each value to a field in the automation's Update Contact step, or use the REST API.

Should I sync every Salesforce contact?

No. Only sync people who have agreed to receive your emails, such as leads who asked for updates or customers who opted in. A good first Zap sends Salesforce opt outs to Mailsoftly with the Add Global Unsubscribe action, so an address that opted out in your CRM is never emailed.

How do I disconnect Salesforce?

Turn off or delete the Zap in Zapier. To cut off access completely, delete the API key in Mailsoftly under Settings, Advanced, API, and anything using that key stops working right away.

What else does Mailsoftly connect to?

Google Workspace, Microsoft 365, WordPress, Shopify, HubSpot, Jotform and Zapier connect natively, plus a documented REST API and webhooks and an MCP server for AI tools. See the full picture on the Mailsoftly integrations page.
